Make a Payment

Payments can be made towards fees or deposits as well as made towards fees from paid deposits that are associated to a case. Making a payment towards fees or deposits uses the same process in the payment manager window, but is accessed differently.

You can make a payment towards any fees and deposits associated to a case.

PREREQUISITES:

  • A case must have a fee or deposit associated to the case. For more information, see Add a Fee or Add a Deposit.
  1. Open the payment manager window using one of the following:
  • Click Make a Payment in the lower-left corner of the Fees or Deposits panels
  • Click Add record in the upper-right corner of the Payment panel
  • Create a custom URL in the site menu

NOTE: See the Configure the Cityworks Toolbar section in the Designer Office Companion 23 Guide for more information on creating a custom URL in the site menu. In the URL field, enter CWPermit/UF/Case/Page/CUFreceipts.aspx.

NOTE: If you accessed the payment manager window using Make a Payment or Add record, the Fees Search Form automatically populates with the case information and the associated fees and deposits appear below.

  1. Search for fees or deposits to pay using the Fees Search Form. See Search for Fees or Search for Deposits for more information.

NOTE: See Search for Receipts for information on searching for receipts.

  1. Select Fees Payment or Deposit Payment to choose whether you want to pay fees or pay deposits associated to the case.
  2. Select the fee(s) or deposit(s) you want to pay.

TIP: Select the check box on the far left of the panel to apply the payment being made to all of the fees or deposits. If all of the fees or deposits are selected, clear the check box on the far left of the panel to unselect all the fees or deposits.

  1. Click Pay Now.

  1. In the Add Payment panel, use the Tender Type Lookup icon to choose the Tender Type, such as cash or check.

  • Select the check box(es) next to the payment method(s).
  • Click Submit.

The Paid amount defaults to the total amount of the selected fee(s) or deposit(s), but the amount can be changed.

NOTE: If you selected more than one payment method, you can switch between the methods by selecting the one you want to view on the left-hand side of the panel, or by using the arrows at the bottom of the panel.

  1. Use the calendar icon or double-click in the field to enter the Date Completed.
  2. Select the View Receipt check box to view the receipt for the payment once the payment is saved.
  3. Enter a payment source, such as an internal purchase order (PO), in the Reference field.
  4. Enter any additional Comment about the payment.
  5. If you know who paid the fee(s) or deposit(s), click Payer Info. See Add Payer Information to a Payment for more information.
  6. Click Save.

NOTE: If you accessed the payment manager window using the Make a Payment or Add record icon, the payment manager window automatically closes.

The Fees panel on the summary page automatically refreshes and shows the remaining balance due.

The Deposit panel on the summary page automatically refreshes and shows the remaining deposit balance.

You can make a payment towards fees using a deposit that has been paid.

PREREQUISITES:

  • A case must have a fee or deposit associated to the case. See Add a Fee and/or Add a Deposit for more information.
  • The deposit(s) must be paid before being applied to fees. See Pay Fees or Deposits for more information.
  1. Open the payment manager window using one of the following:
  • Click Make a Payment in the lower-left corner of the Fees or Deposits panels
  • Click Add record in the upper-right corner of the Payment panel
  • Create a custom URL in the site menu

  1. Search for fees or deposits to pay using the Fees Search Form. See Search for Fees or Search for Deposits for more information.

  1. Select the deposit(s) in the Deposit section that you want to apply to the associated fee(s) in the Fees section.

  1. Select the fee(s) you want to pay with the selected deposit(s).
  2. Click Apply Deposit.

NOTE: If you do not have any deposits selected and click Apply Deposit, you will receive an error message.

The payment manager window refreshes and shows any remaining fee(s) or deposit(s) that were not selected or that were not paid by the applied deposit(s).

The Fees panel on the summary page automatically refreshes and shows the remaining balance due.
