Complete a Task

In order for a case to progress, the tasks associated to the case must be completed.

PREREQUISITES:

  • Checklist or correction items must be completed in order to complete a task. See Complete Corrections for more information.

You can complete a task from the Workflow panel.

  1. Open a case.
  2. Click the drop-down list in the Result column to select a result for each task, such as if it is approved or should be resubmitted. The result codes available in the drop-down list vary depending on the case type.

NOTE: If configured by the PLL administrator, the task result type selected can automatically generate a work order, service request, and inspection. To create a service request from a task result, the case must have an X, Y value. See Configure Task Results in the PLL Admin Office Companion 23 Guide for more information on configuring automatic work activities.

IMPORTANT: The drop-down list for a task only displays on a task when all of the tasks in the preceding milestone are complete.

Depending on the selected result, the task is completed and the next task(s) is available, or the task may be reinserted into the workflow.

The administrator can configure a task to copy comments if automatically inserting the same task. This applies to single tasks, not task groups.

NOTE: Single tasks that are not approved can be reinserted directly after the unapproved task in the workflow. This applies to single tasks, not task groups. This can be done manually, or the administrator can configure the task to reinsert automatically when it does not pass.

You can complete a task from the Edit Task panel.

  1. Select the record(s) and click Edit Task on the Workflow panel.

The Edit Task panel opens.

NOTE: If you selected more than one task, you can switch between the tasks by selecting the one you want to view on the left-hand side of the panel, or by using the arrows at the bottom of the panel.

NOTE: From the Edit Task panel, you can also add and remove corrections, comments, time accounting, and attachments associated to the task. See the Corrections, Comments, Time Accounting and Attachments sections for more information.

  1. Select the Result Code from the drop-down list.

NOTE: If configured by the PLL administrator, the task result type selected can automatically generate a work order, service request, and inspection. To create a service request from a task result, the case must have an X, Y value. See Configure Task Results in the PLL Admin Office Companion 23 Guide for more information on configuring automatic work activities.

  1. Use the calendar icon or double-click in the field to enter the Task Complete Date.

IMPORTANT: The Task Complete Date must be later than the Task Available Date. If a task was physically completed at an earlier date, tasks can be backdated using the Actual Start Date and Actual End Date fields.

  1. Click Lookup for Task Complete By to select an employee for the Task Complete By field.
  • Select the employee you wish to add.
  • Click Submit.

  1. Click Save.

The window refreshes and shows a success message at the bottom of the Workflow panel. The Completed Column on the Workflow panel populates with the date the task is completed.

You can use Task Manager to complete tasks.

  1. Open Task Manager and perform a search. See Search for Tasks for more information on performing a search.
  2. Once you have performed a search, click the task you want to mark as complete.

  1. Click Details below the task to reveal more fields.

  1. The Task Complete By field may automatically populate, but can be changed. To do this, remove the current user ID, and click the Lookup icon.

  • Select the login ID of the employee you wish to add.
  • Click Submit.

  1. The Task Complete Date field may be populated but can be changed. Click the calendar icon or double-click in the field to select a date.
  2. Click the Result Code drop-down list and select a result for the task.

NOTE: If configured by the PLL administrator, the task result type selected can automatically generate a work order, service request, and inspection. NOTE: The task cannot be completed until correction tasks (checklist items) associated with the task are complete. See Complete Corrections for more information.

A success message displays and the field is grayed out.
